This Program Support Assistant position is with Veterans Health Administration (Department of Veterans Affairs) in Tucson, AZ.
The position is at the full performance level located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), at the Southern Arizona VA Health Care System in the Physical Medicine and Rehabilitation Service (PM&RS) under the Office of the Chief (PM&R). The primary purpose of the position is to serve as the program support assistant under the direction of the Service Chief.
Key duties:
• Major duties include, but are not limited to -Monitoring Joint Commission requirements, supporting quality improvement activities, and updating Standard Operating Procedures (SOPs) for Quality & Safety review. - Collecting, compiling, and tracking administrative data critical to PM&RS operations. - Managing multiple complex national databases by entering and extracting information. (e.g., BRS 5.0, VSSC Amputee Clinic, Rehab Dashboard, VACO Polytrauma Tracker). - Analyzing data related to demographics, productivity, telehealth, access, length of stay, billing, staffing, and budget trends. - Creating spreadsheets and pivot tables for detailed analysis beyond what national databases provide. - Optimizing Veterans Equitable Resource Allocation (VERA) funding by ensuring reports are available and confirming compliance with billing and coding requirements for proper reimbursement. - Developing and maintaining data protocols, spreadsheets, and tracking systems for local use and VISN review. - Preparing and presenting bi-weekly, monthly, and quarterly reports, and producing annual comprehensive outcome reports for distribution to internal (PM&R department, Quality department, Local facility) and external stakeholders (VISN). - Monitoring policies and implementing operational updates as needed. - Reviewing referrals, medical record collection, and follow-up tracking for specialty programs serving approximately 1,600 Veterans. -Supporting PM&RS administrative operations such as timekeeping, supply management, work order tracking, and record review. -Serving as a Government Purchase Card holder and meeting reconciliation requirements per VA Handbook 1730.1. - Reviewing appointments and clinics across more than 12 rehabilitation disciplines. 1. Qualifications:
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/16/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support functions within a healthcare facility; experienced with procurement processes necessary to obtain goods and services for an office; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; assisting in the formulation and execution of budget estimates to include updating budget spreadsheets which are used in briefings; collecting, compiling and tracking data and information; and researching reference materials, regulations, and standards to identify appropriate action necessary to correct problems or issues. .
